About the role 

Spruson & Ferguson is looking for an experienced Legal Secretary to provide professional, confidential and efficient support to Principals in our Legal team, Sydney office.

Key Responsibilities  

  • Provide a range of comprehensive support including, inbox and calendar management, domestic and international travel arrangements;
  • Organisation and management of legal files and undertaking conflict checks;
  • File creation including updating, maintaining, closure and archiving;
  • Managing relevant authors’ diaries to ensure that relevant deadlines are met;
  • Playing an active role in maintaining and developing the specific authors’ practices ensuring that a high standard of quality and client service is maintained;
  • Efficient, professional and timely preparation of documents and correspondence, including reviewing documents for clarity and accuracy;
  • Conduct searches (e.g. ASIC) and research, as required by the Legal team;
  • Liaising with clients, barristers, expert witnesses, opposing parties’ solicitors and associates on behalf of authors, as required;
  • Assisting assigned authors and the team to manage WIP, billing and debtors;
  • Photocopying, filing and data entry and;
  • Managing the expenses of relevant authors using Concur (if applicable).

Key Competencies 

  • A minimum of 3 years’ experience in a similar role;
  • Experience with Microsoft Office Suite (Intermediate level) particularly Word and Outlook;
  • Computer literate and able to learn new systems and implement new processes effectively; 
  • Strong written and verbal communication skills; 
  • Exceptional time management skills with multi-tasking ability and superior attention to detail; 
  • Strong critical thinking and interpersonal skills with the ability to maintain professionalism whilst liaising with senior leaders and external clients;
  • An adaptable, flexible and ‘can-do’ attitude; and 
  • Previous experience working in an intellectual property company or litigation practice is preferred but not essential.
