An exciting opportunity has become available for an accurate and collaborative Administrative Assistant to join our team in Sydney on a full-time basis. The successful candidate will work closely with the Executive Assistant to provide comprehensive administrative support, ensuring the smooth operation of the Managing Director’s practice while assisting in various administrative tasks.
The key responsibilities for this role include:
- coordinate and manage travel and accommodation arrangements
- process all expense claims and credit card reconciliations via the expenses management system – currently Concur
- assist with basic office clerk tasks, such as expense tracking and invoice processing
- assist with various administrative tasks such as scheduling meetings, managing calendars, and organising documents
- assist with draft agendas and minutes and following up on action items
- assist in the preparation of presentations and materials for meetings and events
- work closely with Front of house staff and provide Reception relief during breaks
- assist with arranging couriers, outgoing mail and registering mail
- assist with general breakout and reception kitchen duties including (but not limited to) unstacking the dishwasher, re-stocking tea/coffee, wiping down benches
- such other responsibilities as directed by Spruson & Ferguson from time to time commensurate with role.
Skills & Experience
- Experienced with Microsoft Office Suite (Word, Outlook, Excel and PowerPoint) and experience with Adobe Acrobat.
- Experienced with SAP Concur.
- A high level of computer literacy with the ability to learn new systems, implement new processes effectively and assist with training of the same.
- Excellent attention to detail with a high level of accuracy.
- Well-developed organisation and time management skills with the ability to prioritise work and meet tight deadlines.
- A professional attitude with integrity and the ability to maintain confidentiality.
- Effective interpersonal, written, and verbal communication skills.
- Extremely reliable with a strong sense of responsibility.
- Demonstrate a proactive attitude with a can-do approach and a keen interest in professional learning, growth and development.
- The ability to problem-solve.
- The ability to collaborate with staff members to ensure individual and shared goals are met to a high standard.
